Opportunity description

The purpose of the tender is to conclude one (1) agreement with one (1) contractor for the purchase, implementation and maintenance of audiovisual resources that meet the current state of the art, are easy to use and can integrate well with the other relevant information systems of the municipality of Edam-Volendam. Furthermore, all specifications and requirements and the Tenderer's commitments must be met. The main objective of this contract is to upgrade the current audiovisual installation to a stable, robust audiovisual installation, while maintaining and/or expanding the existing functionalities. The Contractor shall ensure that the audiovisual installation functions without interruptions; in other words, that the municipal council, the council clerk's office and other users do not experience any hindrance when using the installation in the performance of their duties. Because the location of the final council chamber is still being renovated, and commissioning is scheduled for the end of 2026, delivery and installation may consist of two parts. • Installation at Julianaweg 106, 1131 DJ Volendam (AMVO), following the award, of solely the equipment for the committee room, which must later be relocated to the committee room of De Ark in Volendam. Due to uncertainty regarding the renovation of De Ark, we are still reserving our position with respect to the relevant installation. This will take place in consultation, after the award. • Installation at “De Ark,” Val van Urk 7, 1132 BH Volendam, after completion of the renovation of both the committee room and the council chamber, in which case dismantling at the Julianaweg 106 (AMVO) location must, of course, also take place if applicable. Broadly speaking, the contract concerns the following components: a. Supply of the new audiovisual information platform for the council chamber of the Edam-Volendam town hall. Consisting, among other things, of: • Control screens • Meeting management system (VMS) • Microphone installation • Automatic camera recording • Video screens—image display • Sound reproduction • Wireless microphones • Hybrid preparation • Presentation options • Recording facilities • Distribution of audiovisual signals • Solution to prevent outages b. Providing a live connection between the audiovisual information platform and the iBabs Council Information System, including the Company Webcast webcasting platform. c. In consultation with the contracting authority, removing and disposing of existing equipment that has no value or function in the future installation. d. Turnkey installation and implementation of the audiovisual equipment and systems for the contracting authority, consisting, among other things, of: • Project management (also for the role on the contracting authority's side); • Direction of all internal and external parties involved; • Workshops to develop the use and management in detail; • Design and configuration; • Establishing connections; • User training, documentation and aftercare, including on-site support during the first five (5) council and committee meetings following the commissioning of a properly functioning, delivered installation. e. Technical, functional and operational management of and support for the entire audiovisual installation (including the coordination and direction of internal services and third-party suppliers required for the proper operation of the installation). f. On-demand on-site support at council and committee meetings (physical presence) before and during the contracting authority's meetings.
