All Zurich notaries' offices are simultaneously bankruptcy offices and land registry offices. Zurich bankruptcy offices are required to retain not only their own files from bankruptcy proceedings, but also the business records of the respective bankrupt company. The statutory retention period is generally 10 years (30 years for individual files). In particular, for the ten-year retention of business records, the notaries' offices currently operate nine so-called central archives. The nine central archives are located at seven sites and are each affiliated with a local bankruptcy office/notaries' office. The management of an archive (storage inventory, incoming and outgoing items) is carried out by an employee of the local notaries' office. An IT application provides an overall overview of the capacity utilization of the individual archives. The increasing number of bankruptcies in the Canton of Zurich means that the volume of bankruptcy and business records is also increasing and the existing central archives of the notaries' offices are reaching the limits of their capacity, and in some cases have already reached them. For this reason, and due to the need not to additionally burden the bankruptcy offices of the Canton with storage services, the management of the Notaries' Inspectorate has decided to outsource the storage of bankruptcy files as a future-proof, scalable solution.
